Building an Airbnb welcome book in Canva takes one to two hours: you pick a welcome book template, replace the text with your own information (access, Wi-Fi, house rules, local picks) and export a PDF. What an Airbnb welcome book is

A welcome book is the document a guest reads in the first hour. It answers the questions that otherwise arrive as messages: how to get in, what the Wi-Fi password is, which switch runs the water heater, when the bins go out, and what to do with the keys on the way out. Add your local picks and the number to call at 11 PM and the document is complete.

Three words get used for three different objects, and mixing them costs time. The welcome book is yours: the document you print or send. The house manual is a field on your Airbnb listing, shown to guests once they book. Canva makes the first one. It cannot make the third, because what comes out of Canva is a file.

Why it pays off

A guest who finds the trash day in a document does not text you about it at 9 PM. That is the whole return, and it compounds across a season.

The effect that gets promised alongside it is a measured drop in guest messages. Treat that one carefully. The figure circulating in this market is 23 percent, credited to a 2025 Touch Stay host survey that Touch Stay does not publish anywhere, and other vendor pages assert 61 and 80 percent with no source at all. Nobody in this field publishes a read rate either. What you can count on is narrower and still worth the evening: the questions you answer on paper are questions you stop answering by phone.

Canva as the tool, even with no design skill

Canva is a browser design tool with a drag-and-drop editor and a free tier that covers this job. You replace text, swap photos, export.

It is also the default answer on Airbnb's own forum. Answering a new host on April 1, 2025, Joan2709, a Top Contributor, worked through the free Airbnb fields first and then added: "Canva is a popular tool to create House Manuals and Area Guides." That reply is the accepted answer on the thread.

Search "airbnb", not "airbnb welcome book". The short query returns 127 templates, and almost all of them are built for short-term rentals: welcome letters, house rules and Wi-Fi posters, check-out signs, cleaning checklists. The long one returns a page announcing "20,000+ templates" filled with book club flyers, school welcome banners and baby announcements. That larger number is generated from whatever string you type, so it measures the query rather than the library. "vacation rental" and "guest wifi" work the same way as "airbnb"; guessing a category URL does not, since Canva has no welcome book category page.

Free Airbnb welcome book templates in Canva

These eight open, edit and export on a free account. None of them is an eight-page book on its own: each is one page of one, which is how a welcome book gets assembled in Canva. All were opened and checked on September 21, 2026.

Three of the eight are Wi-Fi, which tells you what hosts ask designers for.

For the multi-page shape, start from a format gallery rather than a search. The booklet gallery holds the bound document a guest picks up off the counter, the flyer gallery holds the single sheet printed front and back, and the presentation gallery holds the 16:9 shape you send before arrival and a guest reads on a phone.

Paid Canva templates, and whether they are worth $144

Canva's rental templates come in both tiers. The seven below carry the Pro marker and need a subscription to export without a watermark. They are noticeably more finished than the free ones, and several combine the welcome, the rules and the Wi-Fi on a single sheet, which is the layout most hosts end up wanting.

Pro costs $18 a month or $144 a year for one person, before tax. For a single property that is a lot to pay for a layout, and the free table above covers the same pages. Pro earns its money on the features around the template rather than the template itself: Translate, Magic Resize, the background remover, print-ready CMYK export, and saving a design as a template so the second property starts from the first.

One warning about buying the layout somewhere else. Marketplace templates sold for this job are usually Canva files too, delivered as a link rather than a document, and some carry a license that forbids the very thing you bought them for. What to put in a welcome book

Start from the messages you already get, in the order a guest needs them.

1. Welcome and your number. Two sentences and the phone number, with what it is for. "Text me about the house, call 911 about a person" ages well.
2. Getting in. Check-in time, access type, the code or lockbox location, and what to do when it fails.
3. Wi-Fi. Network name and password, on their own page, in type readable across a room. A Wi-Fi QR code next to them removes the typing.
4. How the place works. Thermostat, appliances with a trick to them, hot water.
5. House rules. Quiet hours, occupancy, pets, smoking, parties, in plain language. The house rules generator writes the formal version.
6. Trash and recycling, as days. "Trash goes out Tuesday night, recycling every other Thursday" beats "please help us recycle."
7. Local picks. Eight to twelve, with the two only you would know.

Values beat categories throughout. Every line a guest cannot act on is a line they scroll past.

Customize a Canva template in five steps

   Pick the format before the design.

   Bound if the guest holds it, a flyer if one sheet covers the property, a presentation if you send it before arrival. The shape decides everything after.

2. 2

   Take the palette from the property.

   Open a photo of the room a guest walks into first and lift two colors: the wall, and whatever the eye lands on next. Canva Free gives you one Brand Kit, enough to save them and stop redeciding.

3. 3

   Lock the type.

   Two sizes, one for the question and one for the answer, both readable at arm's length on paper. Font choice is also a translation decision, because Canva's Translate refuses unsupported fonts and asks you to pick another.

4. 4

   Add your photos and the lines only you know.

   A photo of the actual lockbox beats a stock key icon. Add the two or three things a guest would otherwise text you about at 11 PM.

5. 5

   Export deliberately.

   Canva offers PDF Standard at 96 dpi and PDF Print at 300 dpi. Standard for a file you send, Print for paper. Password protection works only on PDF Standard, so a locked file cannot also be the print file.

What a Canva welcome book really costs

Prices exclude applicable tax, read on Canva's United States pricing page on September 21, 2026. The plan called Teams is gone, and third-party blogs still quote $12.99 a month and $180 a year, neither of which matches the page today.

Free covers this job. It exports PDF, JPG and PNG, and gives 5 GB of storage, one Brand Kit and unlimited folders. Joelle43, a Top Contributor, told a new host on May 21, 2024 that she built her house manual on Canva and that "it didn't cost me a penny as there are plenty of free options to work with", after giving up on Word.

Two costs sit outside the plan.

Premium elements. A premium graphic carries a criss-cross watermark until it is bought, and on the free plan a purchased element is licensed for one design only, so the same divider in a second property is a second purchase. Canva publishes no price for a single element license, only that it is a one-off fee.

Printing. Canva prints a saddle-stitched copy from $16.50 in the United States, at 5.5 by 8.5 or 8.5 by 11 inches, 8 to 24 pages in multiples of four, on 150 to 200 gsm paper. Flyers start at $37.50 for 50. Economy shipping is free and quoted at up to 14 business days, which is closer to three calendar weeks than two: a book that has to be on the counter Friday is ordered three Mondays ahead.

Where Canva stops

Canva designs a beautiful document. Four limits show up once that document leaves your screen.

A cropped photo survives the export. Canva's help center states that a PDF export of a design with cropped images includes the original image. Crop your entry photo to hide the lockbox keypad and the part you cut is recoverable by anyone who opens the file in an editor. Crop in your phone's photo app first, then upload.

The file is a copy. Change the trash day and you have changed your Canva design, not the PDF already sitting in every inbox you sent it to. Every correction is an export plus a redistribution.

One language at a time. Canva does translate in 2026, through right-click or Resize then Magic Switch, but Translate is excluded from the free plan, runs one target language per pass and caps each pass at 2,000 characters. It also shrinks text to fit and duplicates the page by default, which undoes your layout.

The bound format stops at 24 pages. Saddle stitching constrains Canva Print to 8 to 24 pages in multiples of four, so a welcome book that grows with every guest question eventually hits a ceiling.

Why a digital guidebook wins past a certain point

Two thresholds, both countable.

The first is two languages. Count the characters in your file, divide by 2,000, and that is your number of Translate passes, multiplied by the number of languages, on a paid plan, and only if your font is supported. A hosted guidebook serves the guest's language without a pass.

The second is two properties. One evening becomes maintenance: one export per property per correction, and a fresh premium element license for every design reusing the same graphic. That is the point where hosts running several properties stop exporting files.

Past either line, the difference is the export step rather than the invoice.

What a hosted guidebook does that a Canva PDF cannot

Everything above stays true: Canva designs a better-looking page than most hosts would design alone. These are the five things that happen after the design is finished.

• One edit reaches every guest. Change the Wi-Fi code on the link and the guest who checked in last week sees the new one. A PDF changes only in your account, never in the eleven inboxes you already sent it to.
• The guest's language, without a pass. WonderGuest publishes six languages on the Pro plan and one on Free. Canva's Translate runs one language per pass, 2,000 characters at a time, on a paid plan, and refuses unsupported fonts.
• Built for the phone that is already in their hand. A link and a QR code open at reading size. A PDF opens at page size and gets pinched and dragged, which is where guests give up and text you instead.
• Blocks a PDF has no room for. A tappable address that opens Maps, a number that dials, a video for the appliance nobody understands, a Wi-Fi QR code that connects on scan.
• The second property starts from the first. Duplicate the guidebook and change what differs. In Canva, saving a design as a template is a paid feature, so on Free the second property is a rebuild.

Two lines in that table deserve reading twice. The free column is real: one guidebook, one language, link and QR code, unlimited blocks, free for life, which covers a host with one property and English-speaking guests. And the five-property row is where paper stops being the cheap option, because a binder does not get cheaper by the unit while a subscription does.

Prices exclude sales tax, calculated at checkout. Pro is $16.99 a month billed monthly, $12.99 billed annually, with a 14-day trial on the first subscription.

Paper still wins for the guest who never opens a link, which is why most hosts end up running both: the link in the arrival message, one printed page on the counter. A single-property host can do that for nothing.
