How a host manages 5 apartments on his own (and without a concierge)

The challenge of scaling up: the 3-unit wall

Many Airbnb hosts start with just one property. Management is then a pleasure, almost a hobby. But as soon as you reach 3, 4 or 5 properties, the mental load explodes. Between cross-checking in/out, housekeeping and communication, the temptation to delegate to a concierge service (which often charges a 20% commission) is great.

Yet it's entirely possible to maintain control and maximize income while remaining independent. Here's how some of our users manage their properties with almost industrial efficiency.

1. Automation: Replacing people where possible

Managing 5 homes without a concierge imposes a golden rule: never do the same manual task twice..

  • Connected locks:** No more appointments to hand over keys, or physical key boxes that are sometimes insecure. The code is automatically generated and sent to the traveler.
  • Calendar synchronization:** The use of a Channel Manager (PMS) is essential to avoid double bookings between Airbnb, Booking and your direct site.
  • Centralized communication:** Rather than juggling applications, everything is centralized. But the real secret lies in the information medium.

2. The Welcome Book as a "Virtual Assistant

The biggest time-consuming task for a multi-owner is managing traveler solicitations. For 5 units, this can represent up to 20 messages a day in high season.

In our complete welcome book checklist, we stressed the importance of completeness. For a host managing 5 properties, the digital guidebook becomes his first line of defence:

  • Each property has its own unique QR Code.
  • Specific instructions (garage code for apartment A, complex remote control for apartment B) are isolated in dedicated blocks.
  • In the event of a change of household service provider or Wi-Fi code, all 5 guidebooks can be updated in 30 seconds from a single interface.

3. Create simplified maintenance processes

The problem of unread instructions, which we addressed in our article on the psychology of travelers, is multiplied by five here.

A solo guest with 5 properties can't go out of his way to show how an induction cooker works. He systematically uses WonderGuest's Video Block. By filming each delicate operation in each apartment once, he ensures that the traveler is 100% self-sufficient. It's the difference between a quiet evening and an evening spent doing technical support over the phone.

4. Profitability: The calculation that changes everything

Why persist in managing alone? For the margin. Let's take 5 apartments, each generating $3,000 in monthly revenue, for a total of $15,000.

  • With a property manager (20%):** You give up $3,000 per month ($36,000 a year).
  • Managing yourself (with SaaS tools):** Your tool costs (WonderGuest + PMS) come to less than $150 per month.

The net gain is an additional $2,850 in your pocket every month. That's the price of your financial freedom and your ability to reinvest in a 6th property.

Conclusion: Technology at the service of independence

Managing 5 homes on your own is a high-level sport that requires the right tools. By structuring your communication and anticipating every possible friction with a robust digital medium, you eliminate the need for a costly middleman.

You're back in control of your time and profitability. As we've seen, the key is to drastically reduce unnecessary messages so you can focus on what's essential: the strategy and development of your assets.
